Nonprofit school

Every document in its place

At a nonprofit school for students with special needs, files lived on personal computers and drives. Staff couldn’t find what they needed or share it with each other.

Client
Nonprofit school for students with special needs
Role
Designed the sites and folder structure, built the trackers and ran the training
What was delivered
Four SharePoint sites, one folder structure, an index of every file, and training
Result
Shared access for every staff member, and a structure still in use

Prior experience: pro bono work done as part of a management consulting team, before Periscale.

The challenge

No shared place for anything.

Documents lived on individual computers and drives, so compliance requests and simply finding a file took time away from students.

Thinking differently

Map it before moving anything.

Every document was inventoried and the folder structure agreed before a single file moved, so files landed where people expected them.

An extraordinary result

Shared access for the whole staff.

For the first time, everyone works from the same files and can edit them together. Teachers rely on it heavily.

Four team sites

Staff, media, administration and the board, each with the right access.

One folder structure

Agreed up front, so files are where people look.

An index of every file

What exists and who owns it.

Training and quick guides

So staff keep it organized.

How it scaled

Still how the school works.

A named owner keeps the structure current, with yearly reviews and training planned.

Everystaff member with shared access

Your next step

Are your files scattered across computers and drives?

We can design a shared structure your whole team agrees on, move everything into it, and train people to keep it that way.

More work.
